1. Overview

This Privacy Policy explains how Systems of Human Life, Co. collects, uses, stores, and protects information provided by individuals (“you,” “your,” or “participants”) during or in connection with You Map sessions, our scheduling platform, and related communications.

You Map sessions are educational and coaching-based, not clinical services. Accordingly, SoHL is not a healthcare provider and does not collect or process Protected Health Information (PHI) under HIPAA. Nevertheless, we treat your personal information with the same care and confidentiality expected in professional settings.

2. Information We Collect

We collect the following categories of information:

a. Information You Provide Directly

  • Contact Information: Name, email address, phone number, billing information, and communication preferences.

  • Session Information: Reflections, notes, responses, or self-reported experiences you voluntarily share during a session or through digital forms.

  • Payment Information: Processed securely through our third-party payment processor (we never store full credit card numbers).

  • Consent Records: Your acknowledgment of this Privacy Policy, Terms of Service, and disclaimers.

b. Information Collected Automatically

  • Scheduling Data: Session times, duration, cancellations, and reschedules.

  • Technical Data: IP address, browser type, device identifiers, and analytics (via our booking or website platform).

c. Optional Session Recordings

If sessions are recorded (audio, video, or chat logs), you will be notified and asked for explicit consent before recording begins. Recordings are used strictly for:

  • Research and development to improve You Map tools and methodology

  • Training and quality assurance

  • Generating anonymized insights into user experience

3. How We Use Your Information

We use collected data to:

  • Deliver and improve You Map sessions

  • Manage scheduling, billing, and customer support

  • Conduct anonymized research and analysis

  • Develop new features, guides, and products

  • Communicate updates, reminders, and relevant information about your sessions

  • Maintain legal and security compliance

We do not sell or rent your personal information to anyone.

4. Legal Basis for Processing (if applicable under GDPR)

Where relevant, we process your information based on:

  • Consent: You choose to provide information or consent to recording.

  • Contractual necessity: To provide you with booked sessions.

  • Legitimate interest: To improve our offerings and ensure security.

  • Legal compliance: To meet recordkeeping and taxation obligations.

5. Data Retention

  • Session Notes & Metadata: Retained for up to three (3) years after your last session, then securely deleted or anonymized.

  • Recordings: Deleted or anonymized within 12 months, unless you have provided written consent for longer research retention.

  • Payment & Transaction Data: Retained as required by financial regulations (typically seven years).

You may request early deletion of your records at any time (see Section 8).

6. Data Sharing and Third-Party Services

We share limited information only when necessary to deliver services:

  • Scheduling & Communications: Calendly, Zoom, or similar platforms.

  • Payment Processing: Stripe, Square, or equivalent secure processors.

  • Analytics: Web and usage data via privacy-compliant tools (e.g., Plausible, Google Analytics).
    All vendors are required to maintain appropriate confidentiality and security standards.

We never share personal reflections or recorded content with third parties for marketing purposes.

7. Data Security

We use encryption, access controls, and secure servers to protect your data.
Access to identifiable information is limited to authorized personnel under confidentiality agreements.
Despite these safeguards, no digital transmission or storage system is 100% secure; by using our services, you acknowledge this inherent risk.

8. Your Rights and Choices

You have the right to:

  • Request a copy of your personal data

  • Request correction or deletion of your data

  • Withdraw consent for recordings or communications

  • Opt out of non-essential emails

  • File a complaint with a data protection authority if applicable

9. Children’s Privacy

You Map sessions are designed for adults (18+). We do not knowingly collect personal information from minors. If you believe a minor has provided us data without parental consent, contact us immediately to delete it.

10. International Users

Our services are operated from the United States. By using You Map sessions, you consent to your information being transferred to and processed in the U.S., which may have different data-protection standards than your home country.

11. Changes to This Policy

We may update this Privacy Policy periodically. Updates will be posted at youmap.life/terms with a revised “Effective Date.” Material changes will be communicated via email or booking platform notices.

1. Acceptance of Terms

By booking or participating in any You Map session, purchasing related materials, or using our website or services, you agree to these Terms of Service and our Privacy Policy. If you do not agree, please do not use our services.

2. Nature of Services

You Map sessions are educational and coaching-based, focused on reflection, personal insight, and skill-building.
They are not clinical, not therapeutic, and not a substitute for mental health or medical treatment.

Although some facilitators, including Jared Anderson, are licensed clinicians, they participate in You Map sessions solely in a coaching and educational capacity through Systems of Human Life, Co., not through any private clinical practice.
Booking or attending a session does not establish a therapist–client, doctor–patient, or other healthcare relationship.

3. Eligibility

You must be at least 18 years old to participate in You Map sessions or to make purchases on youmap.life. By using our services, you confirm that you meet this requirement.

4. Booking, Payments, and Cancellations

  • Booking: Sessions are scheduled through our approved online platform.

  • Payments: All payments are processed securely via third-party providers (e.g., Stripe, Square). We do not store full credit card details.

  • Cancellations: You may cancel or reschedule a session up to 24 hours before the scheduled time for a full refund or credit.

  • Late Cancellations or No-Shows: Cancellations within 24 hours of a session or no-shows may be charged in full.

  • Refunds: Refunds are issued only in accordance with this policy. Exceptions are at SoHL’s sole discretion.

5. Privacy and Data

Our Privacy Policy explains how we collect, use, and protect your information. By using our services, you consent to our data-handling practices described there.

6. Recordings and Research Use

With your explicit consent, sessions may be recorded or summarized for research, quality assurance, or product development. You will always be notified in advance if recording occurs.
Recordings and notes will never be shared publicly or with third parties in any identifiable form without your written consent.

7. Intellectual Property

All You Map materials—including graphics, text, session frameworks, recordings, guides, and other content—are the intellectual property of Systems of Human Life, Co. or its licensors and are protected by U.S. and international copyright laws.

You may not copy, distribute, or reproduce any materials except for your personal use as part of your session participation, unless expressly authorized in writing.

8. Code of Conduct

Participants agree to:

  • Engage respectfully and in good faith during sessions.

  • Not record or distribute any session without consent.

  • Avoid using the platform for any unlawful or harmful activity.

We reserve the right to terminate access or refuse service to anyone violating these Terms or engaging in inappropriate behavior.

9. No Emergency or Crisis Services

You Map sessions are not designed for crisis intervention or emergency response.
If you or someone you know is in crisis or may be at risk of self-harm or suicide, call or text 988 to reach the Suicide and Crisis Lifeline, or go to your nearest emergency department.

10. Limitation of Liability

To the maximum extent permitted by law:

  • Systems of Human Life, Co. and its team members are not liable for any direct, indirect, incidental, or consequential damages arising from your use of our services or materials.

  • You understand and agree that participation is at your own discretion and risk, and that SoHL makes no guarantees about outcomes, results, or improvements.

  • Our total liability for any claim will not exceed the amount you paid for the relevant session or product.

Some jurisdictions do not allow certain limitations of liability; in those cases, our liability will be limited to the minimum amount permitted by law.

11. Indemnification

You agree to indemnify and hold harmless Systems of Human Life, Co., its officers, directors, employees, contractors, and affiliates from any claims, damages, or expenses (including reasonable legal fees) arising out of your use of the services or violation of these Terms.

12. Governing Law and Dispute Resolution

These Terms are governed by the laws of the State of Delaware, without regard to conflict-of-law principles, for all matters relating to the corporate rights and obligations of Systems of Human Life, Co.
For all other matters, including any disputes arising from your use of our services, these Terms are governed by the laws of the State of California, without regard to conflict-of-law principles.

Any disputes or claims arising under these Terms shall be resolved in the state or federal courts located in Sacramento County, California, unless both parties agree to alternative dispute resolution.

13. Changes to Terms

We may modify these Terms periodically. Updates will be posted at youmap.life/terms with the revised “Effective Date.” Continued use after changes constitutes acceptance of the new Terms.
